In our case the dematerialization process converts the physical files and folders into the electronic form to ensure more reliability and security of a business process. Also, the dematerialization increase the productivity and adapt faste the business process to the new challenges.

Numerous dematerialisation solutions exist to ensure productivity and better monitoring: from electronic signatures to requests for the delegation of authority or the opening of job positions.

The ADIDDD client wanted a process in which to eliminate the physical paper and to respond as quickly as possible to the request to obtain the authorization for pest control, disinsection and disinfection for township Snagov and township Chiajna.

 

The requester should upload several pdf files using a form multi-field. After completing the form, the requester receives a registration number and a confirmation email. At this step, the process of approving or denying the request is triggered.

In the process are three actors. Each actor verifies the documents and give the approval to pass on the next step of the process. The first two actors verify the consistence of the documents and the legal aspects. They can access the pdf documents uploaded by the requester.

The third actor gives the final approve and trigger the process of generation of authorization certificate. It has an electronic signature.

After the final approve the first actor do a double check of the document/documents and send them to archives and the system announce the requester the status of his request. The instance of the process for him stops. Also, the system check each day how many days are until the authorization expires.

In conclusion, the implementation of a digital process for handling authorization requests for pest control, insect control, and disinfection by the ADIDDD client has yielded several significant benefits: efficiency and paperless workflow, quick response, document management, authorization expiration monitoring.

This system benefits both the ADIDDD client and the requesters, ensuring that pest control and related services can be authorized and performed in a timely and well-documented manner.
